ASHBURTON SHOPPING CENTRE TRADERS ASSOCIATION (ASCTA) MARKETING CO-ORDINATOR AND EXECUTIVE ASSISTANT

POSITION TITLE:
Marketing Co-ordinator and Executive Assistant of the Ashburton Shopping Centre Traders Association (ASCTA)
REPORTING TO:
The committee of ASCTA
EMPLOYMENT TYPE:
- Contract
- 17 hours per week
- Flexible hours and occasional weekend work required
- 12-month contract reviewed annually
CONDITIONS:
- Hourly rate plus GST based on experience
- Superannuation at 11.5%
- Co-ordinator must be an independent contractor with their own ABN
- All insurances are the responsibility of contractor
LOCATION:
- Work from home with regular visits and meetings in the Ashburton Village Shopping Precinct.
About the Role:
The role of the ASCTA is to promote to deliver the events, activations, promotions, social media, marketing, business development and administration activities to the Ashburton Shopping Centre Traders Associations and to support the businesses in Ashburton Village. The role of the co-ordinator and Executive Assistant is responsible for planning, organising, implementing and coordinating the daily operations for the Association.
Background and Context:
The ASCTA is a not-for-profit incorporated association established in 1997 and funded through a Special Rate program currently generating $100,000+ a year. The rate is currently in year 2 of a 5-year term due to be renewed in June 2028. The boundaries of the rateable area are along High Street, Ashburton from Carool Rd in the east to Johnston St in the west. The rateable area represents around 140 businesses and includes the Ashburton Community Centre and Library. The Special Rate is collected by the City of Boroondara and funds are administered back to the association upon submission of a five-year strategic plan (reviewed annually), and an annual business plan. An annual review is conducted of the five-year strategic plan and half yearly reporting against the plan is submitted and approved by council for the funding in half yearly instalments to be received.
Responsible to:
- Internal stakeholders: Association President, Committee and Ashburton Village businesses
Engaging with:
- External stakeholders: City of Boroondara Council Officers and Councillors, State and Federal Government representatives, suppliers, consultants, contractors, property owners, visitors to the precinct, local Ashburton and Boroondara community organisations.
Position Objective:
The objective of this position is to Promote Ashburton Village as a local shopping destination of choice for local residents and workers of Ashburton, Boroondara and beyond.
The co-ordinator is to manage events, activations, marketing, promotion, advertising, business development activities and offer support and advocate for the benefit of Ashburton Village and the businesses in the precinct that are outlined in the five-year strategic plan and the annual action plan.
Key Responsibilities and Duties:
- Develop and implement, with the support of the ASCTA committee, a 12-month action plan outlining budget, marketing, promotion, advertising strategies, business development programs and initiatives
- Attract patronage to the precinct from the local and surrounding area.
- Serve as a central point of contact for the Associations and provide support to businesses within the association’s boundaries
- Maintain an up-to-date database of all businesses in Ashburton Village
- Manage all day-to-day administration of the association
- Manage and distribute Ashburton Village Shopping Bags to all businesses as required

- Manage all social media on Facebook and Instagram @ashburtonvillage3147
- Manage the ASCTA WhatsApp Communication Group
- Distribute regular trader bulletins to all businesses via email on MailChimp
- Administer the trader payment and allocation of trader parking permits for the association
- Manage the finances of the association ensuring prompt payment of all invoices in conjunction with the treasurer and president
- Manage the finances of the association via Xero
- Implement the marketing, promotion, event and activation opportunities identified in the action plan and support businesses to leverage these opportunities
- Maintain regular contact with Ashburton Village businesses via face-to-face visits to all businesses in the precinct
- Organise networking events for Ashburton Village
- Maintain regular communications with key stakeholders including the City of Boroondara, Victorian and Australian Government and the many local Ashburton and Boroondara community organisations.
- Disseminate information and support provided by the City of Boroondara to ASCTA and the businesses in the precinct.
- Advise on and apply for additional funding for ASCTA via grants and other means to contribute to the budget and activities of the precinct
- Ensure that ASCTA meets its reporting obligations to the City of Boroondara and Consumer Affairs Victoria
- Hold the ASCTA Annual General Meeting and monthly meetings taking minutes and distributing as appropriate agendas and minutes
- Maintain all files and prepare all reports as required for the Association
Work Experiences and Skills:
- Experience in a similar a role highly desirable
- Ability to work independently with strong initiative skills
- High level of computer literacy with experience using MailChimp, WordPress and Xero
- Strong administration and budget management skills
- Experience in event management and current compliance obligations
- Demonstrated ability to communicate effectively with a wide variety of people from diverse business, cultural and socio-economic backgrounds
- Demonstrated ability to work with and promote businesses
- Experience with digital marketing and social media management
- Ability to work co-operative with the ASCTA committee and members, business, property owners, City of Boroondara, State and Federal Government representatives, media, contractors and suppliers, community organisations and the local community
Weekly Hours and Remuneration:
- It is anticipated that the Co-ordinator will work an agreed annual average of 17 hours per week
- The Co-ordinator is required to outline completed tasks via a monthly tax invoice for approval by the President or Treasurer
- The Co-ordinator will be paid monthly by the Association with Superannuation paid bi-monthly. Hours worked outside of the agreed hours will need to be confirmed prior by the committee before the work takes place.
Other Requirements:
The Co-ordinator will provided with a computer and phone owned by the association along with all prior records of the association. The role is a contract position with working from home required. The successful applicant will be provided with a debit card allowing for payment of any of the expenses relating to the role and the association.
